Out of the hundreds of custom solutions and templates PBMS has developed we have selected just three, which we believe adequately illustrate the diversity and cost-effectiveness of our custom software developments. The first example illustrates how an inexpensive custom formula can save hours each day. The next two are fully fledged systems featuring seamless integration between Microsoft Access and Excel, yet they were delivered for only a few thousand pounds.
Healthcare Premium Calculator
The solution was a custom Excel formula. Written in VBA and presented as an Excel add in, it combines all necessary calculations and table look-ups in a single custom formula. All our client’s staff need do is copy the formula down a column in the Excel spreadsheet sent in by the agent and the quotation is done. Only our client's staff have access to the custom formula so the basis of calculation is secure. Cost benefit The process used to take several hours each day. Customer Correspondence Tracking system
We developed a multi-user system, based on Microsoft Access for economy and with SQL Server compatibility to allow upsizing. The system allows supervisors to classify and log all incoming communications and allocate each to an agent for processing. It flags new cases to the responsible agent who then logs all subsequent dates and actions; attaching scanned copies of relevant documents. Supervisors can monitor progress, reallocate cases when necessary and anyone with system access can instantly pick up any case history at their workstation. The Access system writes control statistics to a separate database allowing senior management to analyse performance, using Excel. Cost benefit We responded to the urgency and developed this system in less than two months at a cost of just £8,000. Our brief was to develop a system that allowed the sales team to conclude negotiations on a client’s premises without having to refer back to head office for information or sanction. The sales negotiator's laptop computers needed to contain not only models of the many scenarios available but up to date information on costs and equipment specifications. The system we developed integrates the reliability of an Access database with the modelling capabilities of Excel. Negotiators can download the latest pricing and specification data and upload the outcome of successful negotiations for immediate processing by the contracts department at head office. Cost benefit The development cost of £10,000 is easily justified on clerical savings alone but of course, the real benefit is the assured and flexible response to customer needs.
